Use an existing upload when possible. A file's description page records its source and reuse conditions; the image itself is only part of the record.

Upload a new file

  1. Check the file list for an existing copy.
  2. Open Upload file. Uploads need verified access or another role that grants it.
  3. Choose the file and give it a clear, specific filename, such as Character name portrait.png. Avoid image1.png; replacing a file can affect every page that uses it.
  4. Use the creator/source fields and Prepare file description to fill the description below. You can also edit its source directly. Nothing is uploaded by that button.
  5. In the description/summary, record the creator, original source link and the actual licence or permission. File copyright explains the available notices and uncertain records.
  6. Check the destination name and upload. Do not ignore duplicate or overwrite warnings without checking the existing file.

All uploaded files are public, including files used on private Gatekeep pages. Do not upload private concept art or sensitive material here expecting the namespace to protect it. Use a staff-approved private storage route instead.

Add the file to a page

In the visual editor, use Insert → Images and media, find the filename, and choose it. Add a caption and alternative text. You can reopen its settings by selecting the inserted image.

In source mode:

[[File:Character name portrait.png|thumb|alt=Describe the important visible details|Portrait of the character.]]

Use the real uploaded filename. For Character Panel, enter only the filename in image= and the description in imagealt=; do not include File:, brackets or a full URL.

Make it useful to readers

  • Alternative text tells readers what matters in the picture when they cannot see it. A caption gives context or credit; it serves a different purpose.
  • Use thumbnails or the existing infobox sizing instead of forcing a huge image width. Check the page on a phone.
  • A screenshot from Discord, Roblox or a document can contain usernames and private details. Check the actual pixels before uploading.
  • A missing licence notice is not permission. If the rights are unclear, ask staff and describe the uncertainty rather than choosing an invented licence.

To change a filename, ask an editor with file-move access and check existing usage. Reuploading changes the file for everyone who uses that filename; editing the description alone does not replace the image.
